Step 1)
Slow down: Speed kills. Use Active Listening. Repeat what you have heard in your own words.
Step 2) Address motivation:
Put yourself into the other’s position. Listen carefully and identify the needs. Address it with understanding.
Step 3)
Steer the conversation: Summarize what has been said so far and make a suggestion for further action(s).
If tensions remain:
- Change medium (e.g. Video -> Mail)
- Separate clarification in a smaller group
- External support (mediation,…)
